1 Payment Terms

1.1  The Hiring Party’s booking will be confirmed once we have received the signed contract and deposit.

1.2  The deposit is equivalent to 20% of the venue hire incl. GST.

1.3  If the deposit and signed contract have not been received within 21 days of tentative booking. The Owner reserves the right to cancel the booking and release the date to other enquirers.

1.4  Tentative bookings are not binding to either party.

1.5  Full payment of the invoice balance costs are due 1 month prior to, or immediately if booked within 1 month, of the event date.

1.6  Any outstanding accounts must be settled within 7 days of the event date.

2 Cancellation

2.1 All cancellations must be notified in writing. And if notice of cancellation is provided:

2.1.1  more than 12 months prior to your event, your deposit will be refunded less a $150.00 administration fee;

2.1.2  9 months prior to your event, a cancellation fee equivalent to 50% of the Deposit payment plus a $150.00 administration fee will be incurred;

2.1.3  6 months prior to your event, a cancellation fee equivalent to 100% of the Deposit payment plus a $150.00 administration fee will be incurred;

2.1.4  3 months prior to your event, a cancellation fee equivalent to 100% of the Deposit payment plus an invoice charge equivalent to 25% the venue hire incl. GST;

2.1.5  within 90 days of the event, a cancellation fee equivalent to 100% of the Deposit payment plus an invoice charge equivalent to 50% the venue hire incl. GST.

3 Numbers

3.1 Events exceeding 140 people are at the discretion of the Owner and will be priced on application.

3.2  The Owner requests that the Hiring Party provide an approximate number of guests at the time of booking.

3.3  Confirmation of final guest numbers must be given in writing to the Owner within 1 month of event date.

3.4  Additional hire charges may apply if guest numbers exceed that of confirmed final numbers.

4 Venue Hire

4.1  All external suppliers must be notified to the Owner through the “Event Details of the Hiring Party” form at least 3 months prior to the Hiring Party’s event.

4.2  External suppliers must adhere to timeframes for setup and pack down as prearranged with the Owner.

4.3  All on-site visits prior to the event must be prearranged with the the Owner.

4.4  Deliveries and removal of goods and rubbish will occur between the hours of 8am and 6pm.

4.5  All dismantling of equipment including marquees will occur between the hours of 8am and 6pm.

4.6  For events over 50 persons, port-a-loos need to be supplied by the Hiring Party (in addition to existing toilets within the woolshed) as outlined by the Owner. The number of port-a-loos required is subject to final guest numbers.

4.7  The Owner must approve the Hiring Party’s caterer before they are confirmed and booked.

4.8  Catering or specialist bar staff is required to work behind the Container Bar.

4.9  The Owner will need to approve the use of any marquees.

4.10  Fireworks and Lanterns are not permitted on the grounds of Corbridge Estates.

4.11  Use of the Fire pit is at the discretion of the Owner and may not be lit during Restricted and Prohibited fire seasons.

4.12  No open flame is allowed inside the woolshed. Candles must be contained within an approved vessel.

4.13  Smoking is strictly prohibited within the woolshed and surrounding areas. There is a designated smoking area (sign supplied) by the Fire Pit. The Owner reserves the right to enforce a strict no-smoking policy.

4.14  Dismantling and movement of the Owner’s tables during the course of your hire is to be conducted by the Owner only. A minimum labour cost of $180 incl. GST will be incurred.

4.15  Due to noise restrictions, all music must finish at 12:00am, and:

4.15.1  all loud or amplified music shall be conducted within the woolshed building;

4.15.2  all amplified music will be played at or below 95 dB Laeq;

4.15.3  no dance music with a high bass content and use of 1000 W RMS amplifiers paired with high; powered subwoofer or ‘bass bins’ will be used;

4.15.4  no amplified rock / pop bands with percussion;

4.15.5  any event that runs into a second day shall not include live (amplified) music.

4.16  The bar must be closed by 12:15am.

4.17  All patrons (including staff) must be departed by 1:00am. For any event that runs into the second day, all patrons (including staff) must be departed by 6:00pm.

4.18  The Owner accepts no responsibility for loss or damage of items (including vehicles) left at the venue prior to, during or after your event.

4.19  Cleaning fees will be assessed and charged if the Hiring Party leaves the venue and/or equipment in a state that the Owner deems to be excessively dirty. If the Owner determines on this basis that the venue and/or equipment will require additional cleaning, the Owner will advise the Hiring Party at the time the equipment is returned and notify the Hirer of the relevant cleaning fees as soon as reasonably practicable after the Hirer returns the equipment if assessment of the cost of cleaning cannot be determined at the time the Hirer returns the equipment.

5 Hiring Party’s Obligations

5.1 The Hiring Party shall:

5.1.1 comply with any special conditions or exclusions (which may apply to specific land, facilities and equipment or the nature or location of the Hiring Party’s intended use of such land and equipment) notified to the Hiring Party prior to the commencement of the venue hire;

5.1.2  take proper and reasonable care of the venue, land, and hired equipment and return it to the Owner at the end of the hire period in the same order and condition as at the commencement of the hire (fair wear and tear excepted) and in a reasonably clean state (taking into account the cleanliness of the venue, facilities and equipment at the outset of the hire period);

5.1.3  take full responsibility for the conduct of their guests. The Owner reserves the right to remove from the property any persons they deem to be disruptive or dangerous.

5.2  Any decorations supplied and set up by the Hiring Party must be completely removed within the course of your hire. This includes any fixings (e.g. staples, blu-tak, nails etc).

5.3  The Hiring Party will be liable for any damage sustained on the premises and to equipment.

5.4  No confetti is allowed on Corbridge Estates. Only fresh petals may be thrown.

5.5  The Hiring Party should strongly encourage, and facilitate the use of taxis and buses to and from the venue.

5.6  Care must be taken when manoeuvring items inside the woolshed so to not damage equipment, floors, or other surfaces. Wine barrels must be rolled on their side (i.e., not on the metal rim) only and placed on top of a protective pad.

5.7  All health and safety related incidents must be reported to the Owner immediately and logged accordingly.

5.8  All recycling is to be separated and put in appropriate bins. Cardboard boxes are to be entirely broken down and put in fadge bags.

5.9  Please consult with the Owner before erecting any tents or equipment that requires being pegged into the ground. There is underground irrigation to be aware of. Any damage to our irrigation system will be repaired and the cost charged to the Hiring Party.

5.10  We request that the Hiring Party or their guests do not drive heavy vehicles onto the irrigated grass. All manoeuvring of heavy vehicles must be done on the non-irrigated grass.

5.11  Guest parking is at our designated parking sites only. These are to the west and/or south sides of the woolshed.

5.12  At the conclusion of your hire, we expect that:

5.12.1  the woolshed is swept and free of food and debris;

5.12.2  the Container Bar is to be left clean and drinks removed from fridges;

5.12.3  chairs hired from the Owner are to be broken down and stacked neatly;

5.12.4  tables hired from the Owner are left standing, do not fold down them down;

5.12.5  all external hire items are removed;

5.12.6  any rubbish/unwanted items are placed in the appropriate bins provided or removed from the venue;

5.12.7  all cigarette butts must be picked up from grass;

5.12.8  any games hired from the Owner are packed up and placed inside the woolshed;

5.12.9  beanbags hired from the Owner are placed inside the woolshed;

5.12.10  hay bales hired from Owner are stacked neatly on the concrete pad between the woolshed and the Container Bar;

5.12.11  styling items hired from the Owner are left inside the woolshed.
